HubSpot is known as a CRM and marketing platform. But with the launch of Revenue Hub it took a fundamental step: the entire commercial process, from drawing up a quote to receiving payment and managing recurring subscriptions, now sits in the same tool as your contacts, deals and customer communication.

For SMEs and scale-ups working with separate tools today, one for quotes, another for invoicing and yet another for payments, Revenue Hub is a significant simplification. But what exactly can it do, when is it a good fit and where are the limits? This article gives you a complete and honest picture.

What is HubSpot Revenue Hub?

Revenue Hub is a set of built-in commerce features inside HubSpot that centralise the quote-to-cash process. It is not a separate application but an extension of the existing HubSpot CRM platform. The core features are: quotes with an integrated payment button, payment links, recurring subscriptions, automatic invoicing and a payment overview directly in the customer record.

Revenue Hub is available to all HubSpot customers in supported regions. For payment processing HubSpot works with Stripe. You connect your Stripe account to HubSpot and the payment flow runs entirely inside the HubSpot interface.

Important: HubSpot Payments via Revenue Hub is currently available in the US, the UK and Canada. In Belgium and the Netherlands you use the Stripe connection to process payments, which requires a Stripe account. Check current availability at hubspot.com.

The 5 core features of Revenue Hub

1. Quotes with an integrated payment button

HubSpot already had a quote feature, but Revenue Hub takes it to another level. You build a professional quote from a HubSpot deal, add products from your product catalogue, set discounts and add a direct payment button. The customer opens the quote through a personal link, and approving and paying happen in the same step. The deal in HubSpot updates automatically as soon as the payment comes in.

This removes a common friction point: the customer does not have to request an invoice separately, look up a bank account number and make a manual transfer. They click "Pay", choose card or bank transfer, and the deal is closed. Internally every step is logged in the timeline of the customer record.

2. Payment links

For simple, one-off transactions you create a payment link for a specific amount or product. You share the link by email, WhatsApp or on your website. The customer clicks, pays, and the transaction is recorded in HubSpot. Handy for workshop registrations, consultancy hours or advisory reports with a fixed price.

3. Subscriptions and recurring invoicing

Note: for invoicing with Belgian VAT numbers and specific accounting requirements (Belgian GAAP), align with your accountant and your accounting package first. Revenue Hub is not a replacement for a full accounting system such as Exact, Octopus or Billit.

The product catalogue: the engine behind Revenue Hub

The foundation of Revenue Hub is the HubSpot product catalogue. Here you define your products and services with a name, description, price and VAT rate. When you build a quote or set up a subscription, you select products from this catalogue. Price changes are made in one place and flow through automatically into new quotes.

You can also set pricing rules: volume discounts, contract discounts per customer type or temporary promotions. That makes Revenue Hub usable for businesses with a more complex pricing model, not only for simple fixed prices.

Integration with the rest of HubSpot

The biggest advantage of Revenue Hub is the native integration with the rest of the HubSpot platform. A payment automatically triggers a workflow: send a welcome email, create an onboarding task, update a property in the customer record, move the deal to another stage. With separate tools these things always had to be arranged manually or through Zapier connections.

Revenue Hub is less suitable for retail, e-commerce or businesses with a large product volume, where a dedicated webshop platform (Shopify, WooCommerce, Magento) fits better. It is also not a replacement for a full ERP or accounting package.

What does Revenue Hub cost?

The basic quote functionality is included in paid HubSpot licences. The commerce features (payments, subscriptions, invoicing) are available without extra licence costs, but there are transaction fees on payments. HubSpot charges a percentage per transaction on top of the Stripe costs. Check the current rates at hubspot.com for the most recent fee structure, because this changes regularly.

How do you implement Revenue Hub properly?

A good Revenue Hub implementation needs attention in four areas.

  • Set up the product catalogue: add all products and services with correct prices, VAT rates and descriptions. This is the foundation for everything that follows.
  • Configure the Stripe connection: link the payment account, run test payments and check the payment experience from the customer side.
  • Automate workflows: decide which actions follow a payment, a failed payment or an expiring subscription. This is where the real time saving sits.
  • Arrange the accounting connection: agree how HubSpot transactions end up in your accounting package. Manual export, an API connection or automated sync through an integration partner.

The biggest pitfall in Revenue Hub implementations is underestimating the product catalogue. Do this carelessly and you will later face wrong prices in quotes, inconsistent VAT handling and a chaotic revenue report. Take the time to set it up properly.
