Full digital transformation: implementation of a digital care record, electronic scheduling system with automatic health fund validation and an integrated reporting environment for management and staff.

  1. Phase 1

    Start with the caregiver, not the system

    We shadowed caregivers to see which administration they did daily. Duplicate registration turned out to be the biggest problem: the same data was entered on paper and digitally.

  2. Phase 2

    Introduce the digital care record

    One record per client, accessible on tablet and phone, working offline where there is no signal. Access rights set strictly per role, in line with requirements around patient data.

  3. Phase 3

    Automate scheduling and funding validation

    Rosters are built centrally and checked immediately against care-funding conditions. Errors surface while scheduling instead of at invoicing a month later.

  4. Phase 4

    Phased rollout with support

    Rolled out per team of fifteen, each with an internal champion. Deliberately slow: in healthcare, trust in the system matters more than speed of rollout.

How is GDPR and patient data handled?
Health data is a special category. Access is strictly role-based, all actions are logged, and data stays within the EU. This is agreed in a processing agreement before the project starts.
Does it work without an internet connection?
Yes. Caregivers often work in places with poor coverage. Entries are stored locally and synchronised once a connection returns.
How do you bring along staff who are not technically minded?
By rolling out in phases, appointing a trusted contact per team and keeping entry screens as short as possible. The benefit must be tangible in week one, otherwise paper comes back.
How long does such a transformation take?
